Potomac DivisionBoard Meeting
November 13, 2010


The Board of Directors meeting convened at Bill Demas’ house at midday on Saturday, November 13.  Also present were Marshall Abrams, Bill Day, Martin Brechbiel, Tom Brodrick, Marty McGuirk, Brian Sheron, Mike White and Clint Hyde.  Marshall opened the meeting with welcoming comments to Clint, Marty and Russ Stewart.

Paymaster’s Report – Tom Brodrick reported the Division had a balance of $4350.48 after income and expenditures since the last report.

Clerk’s Report – Bill Demas reported the Division membership stood at 374 paid NMRA members.

Computer Clerk’s Report – Mike White reported the ongoing updating of the Contact List, mailing list, listing of new officers, and their contact information, various web pages, and updating the new organizational logos to the web pages.

Newsletter – Marty McGuirk presented a mockup of the new design for the Flyer based on his software, although the content and layout will remain basically the same.  Dead- line for Flyer articles is December 1.

Layout Tours – Brian Sheron reported the next tour will be Wes Morganstern in Rockville, MD on December 5 and John Sethian in Burke, VA on January 3rd.

AP Report – Brian Sheron reported that one member, Andrew Dodge, completed 9 certificates for his MMR.  A total if 14 additional A P certificates have been awarded since the last report.

Program Coordinators’ Report – Bill Day and Martin Brechbiel reported that Clint and Martin will present their flatcar building clinic at George Mason Regional Library in Fairfax in mid-February.  The clinics program will be known as the White Flag Extra Program.  

Layout Disposal Assistance – Clint Hyde reported he has two pending contacts.

Old Business:
Service Recognition Awards:  John Griffith and Mark Andersen have been chosen as the recipients for the first two awards.  All recipients will have the option of the type of award they wish to receive; a custom decaled car in their scale (mounted or unmounted), a plaque, a donation in their name to any not-for-profit railroad or model railroad organization they designate, and a certificate.  
   
 Audit Committee – Bill Demas, Mike White and Brian Sheron will conduct the required yearly audit on December 4.

 Master Calendar – Mike White will receive the updates for posting.

New Business:
Annual Donation – The Board determined a donation of $500 would be offered to the Vienna Model Railroad Club to assist in the replacement of their snow damaged roof.  If the donation is not needed, there will be no donation this year

The Board carried a Resolution of Appreciation to Brian Sheron for his efforts to organize and coordinate the Walkersville Southern excursion.
New members to the Division will be noted in the Flyer and receive a personal welcoming phone call from the Superintendent.

2011 Minicon:
     St. Matthew’s in Annandale has been confirmed as the site on April 1&2, 2011.
     Most of the 12 clinic slots have already been filled.  
2013 MER Regional Convention:
      Marshall will submit a letter formally offering to host the 2013 Regional MER
      Convention.
      Chesapeake Division will be invited to co-host to gain experience so they may
      be brought into the divisional rotation to host on their own in the future.

The next meeting will be January 29, 2010 at noon at Marshall Abrams’ home in Silver Spring, Md.
